Hi - whilst the event itself was pretty good, the teams groups set up fell apart on the day. I ended up not with my group in the main room and feedback from those who couldn’t find a room meant many disengaged and dialled out of the event. Shame :-(

Hi Sarah, Thank you for feeding back and I'm sorry you did not have a great experience on the event. On the day your employer had hoped there would be circa 480 guests, in 45 teams, which had been set in geographical location (by postcode) of the individuals. On the day we had 92 guests in total which meant many allocated rooms were just not viable, so we quickly had to identify some groups which would work and instruct those people to move - the issue then of course being we had been supplied 691 email address of potential attendees...an almost impossible task given the total event duration was 1 hour. Had we instructed you to go into your pre allocated teams you would most likely have been in a room on your own, or at most 2 other people. You are of course correct it was a shame as an awful lot of work went into creating the teams and setting up the infrastructure. As you say the event itself was good and well received by those who attended. Of the 88 guests who logged onto the session at the beginning, we actually finished with 92 as we had a few late joiners. We saw no sign of guests ‘disengaged and dialed out of the event’ though...

I found the first round of VTA's to be fun and that they worked well over the zoom format. The reason I am giving this a 1 star review is because of the horseracing activity. Beside's the obvious that horseracing is an abhorrent 'sport', I found the curry themed horse names element of the second round to be utterly distasteful and verging on casual racism. We have South Asian members of staff and I cannot even begin to think how uncomfortable that may have been for them. I don't believe that taking an already bastardised version of South Asian culture and bastardising it even more to make it a party theme was appropriate. Student Services and The Student Experience Directorate as a whole stand for diversity, equality and inclusion and I believe that this game, no matter how ephemeral, was not the correct message to broadcasting to 64 members of staff at the end of a conference looking at the future of student services. I would encourage your team to think more carefully about the content you choose to present to a wide audience and I hope that this error in judgment can be learned from. I understand that you are not all to blame and that this also falls onto the staff who vetted and authorised this material who will also be hearing from me.

Dear Anonymous, Thank you for your feedback. Glad to read that you found the day long virtual conference to be fun and that you felt it worked well. Sorry to read that the short, 5 minute section of video horse racing wasn’t to your personal taste and has subsequently triggered your poor review. Rest assured virtual video horse racing has proven to be an incredibly popular entertainment for 100’s of global teams over the last 12 months of lockdown and this is the first complaint of this nature we have ever received. We must say that our multi cultural team find your inference that a British / South Asian fusion cuisine inspired spoof video horse race with horses including the ‘Balti Flyer’ and ‘Bhaji’ amounts to casual racism to be both misguided and offensive. We will however take your advice and endeavour to review all of the existing 20 video races as a matter of urgency. Shambles. No advance joining instructions shared, groups left with single members so unable to operate, people dumped back into main room and no assistance offered to rearrange groups, no contingency for people who couldn't join for the whole session. Pretty disappointing experience.

So sorry to hear that you had a poor experience. Unfortunately due to your Organisation's IT security settings our team were unable to move participants into other teams. We have now issued client IT departments with a revised set of guidelines to allow us to react quickly in future.
